Since the Corona crisis, Teams has seen a sharp rise in user numbers. With our new series "Teams - Tips and Tricks", we provide you with useful information so that you can get even more out of the all-round communication solution from Microsoft. Today we're talking about the functions "Share with Outlook", "Bookmarks" and "Categories for Team Members". (For those who want to get to know Teams first, there's a starter video at the end of the post).
Share with Outlook
Microsoft Teams is already widely used in companies, but not everyone uses Teams as their sole communication tool yet. In addition to Teams, many employees still communicate via e-mail in Outlook. For this purpose, there is the "Share with Outlook" function. With this, there is no need to manually copy content into Teams and then paste it into an email. Users simply have to click on "More options" within a chat message or channel and then on "Share with Outlook". A small window will then show the chat message. Now all you have to do is insert the recipient and the subject line, then you can send the email immediately.
Bookmark
Do you often use teams in groups and send messages there? Then the "Bookmark" function is ideal for you, because it gives you an overview of important messages and attachments and allows you to access them easily at any time. Here's how it works: You click on the three dots for "More options" in a message and then on "Save this message". That's it. If you want to retrieve the message later, click on your profile picture at the top right and then on "Saved".
Categories for team members
If you assign categories to team members by tags, you can contact specific groups within their team without creating a new team or sending individual chat messages. When the feature is enabled, click the "Teams" button in the left panel. Now find your team in the list. Under "More options" select the menu item "Manage tags". Now assign tags to specific people (employees, service team, etc.). As soon as you later use one of the tags in @mention in any default channel of the team, so all tagged employees will be automatically notified.
